An acronym for Human Resources Information System and often referred to as HRIS software, the HRIS system is a system that is intended for collecting and storing data on an organization’s employees.
The HR software package encompasses the basic functionalities required for end-to-end Human Resources Management (HRM) and is used for recruitment, performance management, learning & development, and more purposes. While it has the facilities to run on a company’s native technical infrastructure, the system is mostly cloud-based. In other words, the HR software running outside of the company’s premises makes it much easier to update.
The merger of HR and IT is at times used interchangeably with the term HRMS (Human Resource Management System) despite having a few minor differences between their definitions. Whether it is for simplifying and automating numerous common activities for a smoother daily running of your business or increasing the focus on recruitment and talent management, they are collectively called the HCM (Human Capital Management).
HRIS is designed to simplify the work of employees by improving their productivity. But what is the best approach for training in the HRIS system? There are three primary ways to go about it, namely Online Training, Vendor Classroom Training, and On-Site Employee Training, but the methods differ vastly from each other. Some of them include:
1. University-style training
This HRIS systems training involves heading back to the classroom or group and teaching your employees at the same time. It can save a lot of time and resources, as well as help raise questions as you progress. The name of this method is a result of how the process is undertaken.
2. Learning journeys
You can make this as simple or complex as you need or want to. The method presents a developmental path for the employees. You can add incentives to it such as a career path and potential bonuses based on the completion of the training. As you can guess, that can provide significant motivation.
3. Online training
One of the primary methods of HRIS software training, this method also depends on the level of experience of the employees. If they feel confident enough, they can take an online course to get up to speed with the new system. Inexperienced staff members may feel inclined to take more supportive routes to understand the software.
If there is an informative manual from the software provider, then some employees may be able to dive into the training alone. The catch is that it affects different trainees in different ways. For example, you can comprehend the software easily if you have prior knowledge of it while someone who does not will inevitably struggle.
5. Trickle-down training
For this method of HRIS systems training, the trainer can send a member of staff off for training so they understand the system. When the latter returns to business, the trainer then sends the rest of the workforce for training, one by one. The individualistic approach can save both time and money because it prevents a drop in the company’s overall output. This can save time and money and allow for a more individualistic approach.
6. Role-based training
Nothing is more simplifying for a training curriculum than personalizing it for the respective trainee. That ensures that the individual receives the training they need without adding unnecessary skills to their roster. This is another method that avoids wasting precious time since the training is not generic but focuses on a single person.
7. Learning management tools
With access to portals that facilitate and support self-service, you as part of a company’s staff can have additional control over your training. This method allows you the choice of whether you want to undergo it at work or in the comfort of your home.
8. Learning hubs
Using this method of HRIS software training provides a big advantage to the company you are employed at. The ability of a business to track an employee’s progress in the course they are undertaking helps both parties as it enables the former to pace out the training if you are having trouble keeping up with it.
That said, training is pointless if the HRIS system has no benefits to show. Benefits would include record keeping (maintaining a database on employees makes it easier to sort them based on their personnel files), compliance (collected data makes it easier to handle instances of theft, fraud, misbehaviour, contact information in case of accidents, citizens identification information for the tax office, and expiration dates for mandatory certification, efficiency (the gathered personnel data facilitates accuracy by boosting physical paperwork, finding the right folder, etc.), and self-service HR (personalizing an employee’s experience will not only increase their output but also polish their opinion on the company).
Similarly, functions include Applicant Tracking System (ATS), Payroll, Administration Benefits, Time & Attendance, Performance Management, Succession Planning, and Reporting & Analytics.
